The Program Coordinator II is responsible for the coordination and production of the University commencement programs. Coordinates content updates and oversees the Office of the Registrar websites (Registrar, Graduation, Distance and Undergraduate Curriculum Committee). Develops and implements a style guide and editorial process. Assists with the production of the catalog content management system. Maintains and resolves system discrepancies. Designs and delivers content management system training for campus users. Develops procedures on various processes. Plans and implements a university-wide online orientation for our distance education students and coordinates/maintains current content to ensure continuity.
Required Education and Experience:
Bachelorâ™s degree or equivalent combination of education and experience
Four years of program administration experience
Required Knowledge, Skills, and Abilities:
Knowledge of word processing, spreadsheet, and database applications
Ability to multitask and work cooperatively with others
Verbal and written communication skills
Thorough working knowledge of desktop publishing and graphic design including editing and layout for print and online
Knowledge of content management systems, student information systems, and standard software applications
Proofreading, editing, and researching skills
Interpersonal and organizational skills
Ability to understand, follow, and give verbal and written instructions
Attention to detail and accuracy
Ability to manage multiple tasks/projects under deadline pressure

Other Requirements or Other Factors:
Must be able to work occasional weekends and evenings during certain periods of the year
May include travel for professional meetings which may include weekend and evenings
Preferred Education and Experience:
Two years of experience in office administration or project management to include experience in content management systems, desktop publishing and graphic design
Preferred Knowledge, Skills, and Abilities:
Familiarity with Texas A&M University academic procedures, policies, and rules. Knowledge of FERPA
Ability to comply with federal, state, system, and TAMU laws, policies, rules and regulations
Microsoft Word, Excel and Outlook
Experience with student information system (Banner)
Thorough knowledge of Adobe software products including InDesign
Thorough knowledge of content management systems (Kentico, CourseLeaf)
Working knowledge of graphic design (Articulate Storyline) and video recorder (Camtasia)
Training presentation and delivery skills
Coordinates content updates to the Office of the Registrar websites (Registrar, Graduation, Distance and Undergraduate Curriculum Committee). Develops, implements, and updates the style guide and editorial process. Reviews, improves, edits, and reformats newly created web content to conform to established standards and guidelines. Performs tests for quality assurance as needed. Proofreads all website content. Plans, implements, and evaluates upgrades to website templates.
Plans, implements, and evaluates a university-wide online orientation for distance education students. Creates content for the new university wide online orientation for distance education students. Collaborates with content stakeholders to ensure continuity of content. Develops and maintains relationships with other units involved in developing the orientation. Coordinates with personnel such as videographer, scriptwriters, voiceovers, etc. to implement and maintain the project. Attends meetings on behalf of the Associate Registrar and attends Distance Education Coordination Committee (DECC) meetings. Serves on the subcommittee for the Distance Education Coordination Committee. Obtains content that will be used for the online orientation. Assists in establishing short and long term goals and strategic planning for the online orientation distance education program. Develops and updates the template used for the distance education website. Prepares reports on the online orientation for distance education activities.
Plans, coordinates, and evaluates the University's commencement programs. Coordinates and analyzes the information required from with various campus constituencies for commencement program production. Coordinates the layout, production, quality control, and printing of the programs for each ceremony (May, August, December). Coordinates the distribution of commencement programs. Coordinates publication requests for the Office of the Registrar for presentations or internal distribution. Adheres to timelines to ensure deadlines are met. Identifies and recommends process improvements and efficiencies. Prepares reports on commencement program activities.
Develops and updates training material for content management systems. Designs and delivers content management system training for campus users. Provides user assistance and guidance on systems to ensure deadlines are met. Responds to group emails. Assists in answering the main telephone line and routing calls/messages as appropriate. Collects and coordinates the materials for the Registrar's catalog and commencement archives. Maintains and develops current procedures for various processes.
Assists with the production of the catalog content management system. Maintains and resolves system discrepancies. Assists in reviewing and editing submitted catalog content for accuracy and consistency. Assists in maintaining the catalog search engine and producing the full catalog PDF. Assists in the development and documentation of the system operation procedures, conducting reviews to identify necessary improvements and efficiencies. Develops and maintains relationships with stakeholders regarding the catalog content management system.
