Essential Job Duties:
Duties Include but are not limited to: The Membership Assistant will be responsible for assisting the membership team by promoting a high level of customer service and working within the membership database systems to accurately record and organize records.
Within the Membership and Marketing team and throughout the Association, promotes a high level of customer service to current and prospective members.
Promptly and professionally answers membership services phone calls and returns voice mail messages. Arrange for phone coverage when membership team is away for extended time.
Promptly and professionally responds to all emails.
As appropriate, serves in a sales capacity when communicating by phone or email with nonmembers, and stewards current members by encouraging them to use their benefits or attend an upcoming event.
Opens and codes all daily mail – separates checks from credit cards. Processes new memberships and annual renewals paid by check in DAVIE. Prepares annual member check deposits and tally sheets, then delivers to Business Office for G/L recording and bank depositing. Accurately records corresponding memberships in EXCEL reports for campaign marketing report.
Processes annual memberships acquired through program participation.
Pulls mailing lists of new members on a daily basis for packet fulfillment. Sorts as needed for campaigns requiring specific fulfillment
Pulls fulfillment request from alumni website and sorts as needed.
Queries the database, pulls lists, sends emails and handles responses for retention email communications for pre-lapsed emails and other retention strategies as needed.
Verifies memberships for program registrations and sends relevant updates to Alumni Records.
Queries and sorts files for birthday emails to be set up and sent each day.
Sets up communications effort in DAVIE for retention effort letters
Responsible for keeping the inventory of membership supplies updated.
Maintains a clean and organized working environment.
Provides administrative and clerical support to the Membership Services team in the Association's membership development, retention, and member servicing efforts. (i.e. double payment letters, in-house direct mail campaigns)
Performs other duties as assigned by the Senior Coordinator of Membership Administration, Director of Membership and/or the President/CEO.
understanding of basic accounting procedures and credit operations
data validation, record keeping and reporting experience
the ability to work quickly, accurately and independently under deadline pressure while balancing multiple tasks
significant WORD, EXCEL and database experience
familiarity with PayPal or other credit card processing software
strong project management skills
experience developing a strong rapport within a team environment
strong customer service and communication skills, including the ability to communicate with members about financial transactions, respond quickly and diplomatically in solving inquiries, find opportunities to acquire members through phone, email and one-on-one contact with alumni
A strong familiarity with the campus and Carolina alumni experience are desirable.
