Develop and Manage Orientation Processes & Resources (50%) •Oversee communication plan to newly admitted students via email, phone and U.S. mail; including updates, edits, timeline, collaboration efforts; with follow up content analysis, evaluation, and project management of updates. •Project manage four orientation videos; includes annual review, evaluation and updates with new college and university content related to policies, major requirements, and academic advising. •Project manage summer and winter orientation material preparation for newly admitted freshman and transfer students, including evaluating relevance, reviewing drafts and making edits, for distribution to students and advising offices during on-campus orientation; materials including career readiness, internships, advising, registration, and major departments. •Manage complex relationships with department representatives in relation to on-campus orientation; monitor, track and analyze department participation in on-campus Transfer orientation in conjunction with student retention; collaborate with the CLA Transfer Team and make recommendations for changes/updates to CLA leadership. •Chair New Student Checklist Committee; evaluate and establish committee goals for summer and winter orientations, chair monthly meetings, establish committee representation from CLA advising offices, the CLA Transfer Team and CLA Student Services. •Analyze data and processes to support summer and winter orientations initiatives and goals and make program recommendations in response to data analysis. •Use data-driven resources to analyze and evaluate advisor assignments for incoming orientation students. •Manage seven individualized orientation program student populations newly admitted high school and transfer students from New Student Checklist Launch, through the end of orientation, and provide data and analysis following orientation to their respective programs. •Oversee Web updates in Drupal, including evaluating content and rewrites, for CLA Student Services orientation pages and updates in UGE newsletters. •Oversee centralized People Soft coding (including advising and hold coding) for newly admitted students and update department advising committees, Reason Code definitions, etc. in for departments in alignment with newly hired Undergraduate Studies staff and departmental advisors. •Project manage the opt-in and admission process for newly admitted high school and transfer students with the Dr. Martin Luther King, Jr. (MLK) Program. •Coordinate summer and winter Late Orientations and one-off orientations held outside of regular orientation dates. •Work directly with newly admitted undergraduate students as needed with respect to individualized orientation date planning to fulfill the required, on-campus orientations. •Serve as liaison with the CLA transfer admissions team in the Office of Admissions, the Office of the Registrar, and Orientation Transition Experiences office, CLA major departments, and the CLA Transfer Team to plan for, navigate day-of on-campus orientation logistics, and support individual student record issues for newly admitted transfer students. •Determine transfer orientation college rotation schedule based on feedback and student evaluations, schedule breakout rooms, and the student audit report batch printing schedule. •Participate on orientation committees; act as CLA representative for university-wide Orientation Advisory committee and serve on the CLA Orientation Steering Committee and the Parent Orientation subcommittee.
Manage Orientation Database and Tech Resources (30%) •Project manage Orientation Database updates, metadata, maintenance and user training (college and university-wide). •Evaluate and recommend changes to Orientation Database to accommodate changing demographics and newly identified tracking needs. •Serve as liaison with the CLA Office of Application Development and the Orientation and Transition Experiences office to: evaluate effectiveness and timing of Orientation Database automated email communications sent to new students, analyze placement testing messaging effectiveness, project manage college specific and university-wide New Student Checklist and embedded surveys and reports and make recommendations in regard to all. •Analyze orientation report data from Orientation Database – show reports, TUAY reports, MLK reports, etc. and use report data to create transfer orientation database student number and major matrix; build Orientation Database with orientation attendee numbers, dates and majors. •Download department/major data from Orientation Database for student outreach (welcome emails, open houses, etc.). •Ensure Orientation Database system is aligned with People Soft record data. •Manage set up and monitoring for seven individualized orientation program student populations within the database for CLA. •Manage date selections within the database for second semester high school student admits. •Manage laptop requests and maintenance for five advising offices. •Oversee orientation computer registration lab tech needs, scheduling computer reimaging, managing the Google calendar.
Project Manage the Inter-College Transfer Process (10%) •Manage complex interpersonal communication and data with newly admitted Inter-College Transfer students. •Serve as liaison with the Office of Admissions to identify decision dates and probation status for newly admitted students from the other Twin Cities colleges. •Coordinate with CLA Transfer Team to evaluate and make recommendations for implementing university-wide policies and procedures for Inter-College Transfer students. •Serve as liaison with the President’s Emerging Scholars Program to identify appropriate advising offices for incoming President’s Emerging Scholars and TRIO students from Twin Cities campus colleges. •Serve as liaison with the MLK Program to analyze and manage the program numbers for viability of Inter-College Transfer students throughout the year. •Work closely with CLA Transfer Team, Assistant Directors of Advising, and CLA Student Services employees to evaluate incoming student probation status. •Oversee re-coding of admitted Inter-College Transfer and Intra-University Transfer students from the Office of Admissions.
Manage Student Employee Leadership Development and Orientation Training (10%) •Hire, train and supervise up to four additional student employees, specifically for summer and winter orientation support. •Chair student employee orientation training subcommittee and train student employees on orientation logistics. •Co-chair the student employee advisory committee. •Develop, implement and regularly evaluate a training structure and timeline for all Student Services Peer Advisors in conjunction with orientation. •Work directly with Advising to create a contiguous structure for Student Services Peer Advisor ongoing training and leadership development. •Document and maintain Peer orientation training manuals, as well as logistical training guides. •Assist CLA Student Services employees in developing a hiring plan designed to attract first generation and students of color to CLA Peer Advisor positions.
Required Qualifications: •High school diploma/GED and five years of related experience to include project management is required. Coursework in a related field may be substitute for up to two years of experience. •Demonstrated understanding of, and experience using complex databases. •Proven ability to work collaboratively in a team, as well as work independently and manage time effectively. •Demonstrated skills in communication (written and oral) and experience communicating with diverse audiences. •Demonstrated experience in critical thinking and problem-solving with exceptional integrity and good judgment in collaborative and independent decision-making. •Demonstrated computer literacy, including Microsoft Word, Microsoft Excel, and internet usage (including Google Drive). •Demonstrated commitment to the promotion of diverse and inclusive working and/or learning environments.
Preferred Qualifications: •Uses effective grammar and terminology in writing and verbal communication to compose clear documentation and process updates. •Experience working in higher education, including, experience with, and knowledge of liberal arts education, student services processes, university records, broad level policies, and detail-driven procedures and processes. •Knowledge of curriculum-related systems and student record systems and databases, specifically PeopleSoft, APLUS, the Orientation Database, and their inter-relatedness, maintenance, and integrity. •Proven computer proficiency in effectively using the Microsoft Office Suite, especially Microsoft Excel (including formatting spreadsheets and workbooks, using formulas, and data sorting), various email platforms, Drupal, the Web, and databases in general. •Uses effective problem-solving techniques, including anticipating, identifying, analyzing and thoroughly investigating problems, and actively considering and pursuing solutions. •Demonstrated ability to clearly communicate technology concepts effectively with technically proficient and non-technically proficient individuals in high-quality responses in a timely manner to diverse audiences. •Ability to balance multiple work demands and to thrive in a changing environment, which includes exemplary planning, organizational skills, and an ability to successfully manage multiple, simultaneous projects, while being detailed oriented. •Experience hiring, training and managing student employees in a university setting. •Demonstrated ability to work effectively with individuals from diverse communities and cultures.
