The Program Coordinator provides support for promoting and administering the ICLS WIN in the USA Program. The ICLS WIN in the USA Program is designated by the U.S. Department of State to administer its Intern and Trainee Exchange Program and enroll qualified international students and graduates to receive work-based training in American business culture and practices at pre-approved U.S. host organizations.
The Program Coordinator is responsible for coordinating and administering the program and providing support to exchange participants and host organizations. Tasks may include but are not limited to:
Serving as the initial point of contact and assistance in promoting ICLS English and Internship programs.
Providing information and guidance in collecting application documents and enrolling exchange participants and host organizations.
Assisting with the arrival process including planning and executing orientations, collecting arrival materials and welcome packets for new arrivals to the program.
Providing orientation sessions, guidance and support to host supervisors and maintaining productive communication with participants and host supervisors throughout the program.
Creating digital files for new applicants, maintaining the enrollment documents and records.
Registering new participants, confirming program dates, evaluation schedules for submitting progress reports.
Collaborating with US host organizations by reviewing evaluation reports, dealing with problems and providing necessary support.
Assisting in designing proper training plans and preparing application documents for obtaining a J-1 visa.
Collecting and reviewing evaluation reports with the Program Director for following up with participants and host supervisors. Assisting with conducting investigations and writing compliance reports.
Assisting with collecting information and conducting surveys for annual reports and future programs.
Assisting Business office with creating invoices and tracking payments.
Assisting ESL division with enrolling participants in its online English program.
Minimum bachelor’s degree in international education, communications, business administration, marketing, education administration or relevant field.
Interest in international education and exchange program administration.
Proven research-analytical skills, attention to detail, ability to work with various documents, charts, and tables to provide enrollment updates.
Knowledge of working with international students, screening, testing, processing their applications.
Knowledge of J-1 Exchange Visitor Program administration plus.
Excellent marketing, sales and communication skills.
Experience studying or working overseas preferred.
