Advertised Summary Job Description: Reporting to the Associate Director of Operations and Student Services, the Operations Officer ensures that the overall flow of operations meet department standards from conception to completion. The Operations Officer provides executive-level responsibilities to senior administrators, as well as project management to the overall operations of the Executive MBA Programs.
1.Independently works directly with the Business School Offices of Operations, Information Technology Group, Multimedia, and other departments as necessary in relation to the operational requirements for the EMBA programs on campus, ensuring smooth facilities and building operations as it pertains to EMBA programs.
2.Creates on-campus course schedules (dailies) and corresponding operations setup for all class days.
3.Works with the operations team regarding room assignments for weekend events and review session requests, including managing individual reservations in the event management system, creating initial placeholder each term, outreach to students and faculty, managing and maintaining room assignments on the course webpages.
4.Coordinates and enters Echo 360 (or other media requests) for faculty and students.
5.Creates staffing schedule for the front desk team, ensuring that staff work a minimum of two Saturday shifts per month.
6.Manages the student locker distribution process, this includes outreach to students and managing request each semester to determine student eligibility. Works in collaboration with the Associate Director to recommend process improvements as needed.
7.Works with the Associate Director on pre-event and post event production tasks, making sure that the quality and brand standards are met. Works with the team and attends Executive MBA events such as, Orientations, Residence Weeks and/or Weekends and Graduations.
8.Manages the daily operations of the department, and reviews current processes for improvement and efficiencies.
9.Performs related work and special projects as needed.
General Minimum Qualifications: Bachelor's degree and/or its equivalent required. 0-2 years' related experience required, preferably in office and systems management.
Additional Specific Minimum Qualifications: Excellent oral and written communication skills necessary with an acute attention to detail. An ability to work independently with changing priorities and multiple responsibilities a must. Ability to work as part of team. Must have excellent interpersonal skills. A high level of customer service is required. Strong computer proficiency with Windows, MS Word, Excel, PowerPoint. This position will include regular evening and weekend work requirements.
