The Legal Administrative Assistant provides highly valued support in a wide variety of areas, including, but not limited to: extensive schedule management, global and domestic travel arrangements, meeting planning, e-filing, communicating with clients, data input, and creation of reports using case management systems.
A high degree of discretion and professionalism is required for the position, as well as strong organizational skills, creativity, and the ability to anticipate and address the needs of the team. Fluency in Spanish also required. Looking for a team player who is willing to help others. The successful candidate will be detail-oriented and self-motivated.
Coordinate domestic and international travel arrangements. Prepare related itineraries and agendas.
Track expenses, prepare and submit expense reports in a timely manner.
Efficiently manage frequently-changing and complex calendars.
Coordinate teleconferences and video conferences.
Assist in e-filing and use of Pacer for litigation.
Assist in data input, running reports, and retrieving relevant information from Law Logix case management system for Immigration practice.
Research and reconcile budgetary items and provide budget status reports.
Process monthly invoices for payment and track spending to specific budget lines.
Communicate articulately, professionally, and with compassion to clients and team members.
Undertake special projects, providing support as needed.
Perform general office tasks, as needed, including answering phone and greeting clients.
Minimum HS diploma or the equivalent (Bachelor's Degree preferred)
Must be independently legally authorized to work in the United States
3 or more years administrative/secretarial experience

Flexibility for overtime
Minimum of 60 wpm typing
Additional language skills required - fluency in Spanish.
Prior experience with Law Logix case management system preferred.
