This individual provides administrative, secretarial and organizational support in a student-centered, team-oriented operation within the Department of Residential Life. This person reports to the Director of Residential Life and provides support for The Director of Residential Life, Associate Director and five Assistant Directors in the following areas: administration and management of staff and students in the residence halls housing 9300 students and staffed by 5 Area Coordinators, 15 Residence Directors, 9 Graduate Assistants and 242 Resident Assistants. Individual must be comfortable dealing with a diverse client population that includes undergraduate and graduate students, their family members and advocates, as well as university administrators and the general public and capable of handling sensitive and confidential personnel/project –related information.
A high school diploma with at least four years' experience working in a dynamic, high volume business, preferable in an academic or project management environment providing operational support. The ideal candidate has a bachelor's degree, is an outgoing, detail-oriented team player who is able to communicate clearly to a diverse student, advocate, and staff base. Proficiency with Microsoft Office programs to include Word, Excel, Access, PowerPoint; familiarity with Outlook, Banner. Ability to maintain accurate records to ensure analysis and reports are correct. Working knowledge of budget, accounting and fiscal policies and procedures Preferred. Must have excellent communication skills, written as well as verbal, to present their views with clarity and be confident with their goals and work. They must possess good interpersonal skills, sensibility, the ability to listen to others, and tact and demonstrate assertiveness at times. Must be able to work positively as a member of a team, and understand that effective teamwork depends on the co-operation and skills of all team members. They must have the ability to work within deadlines and should achieve the targeted goals. They should possess time management skills and should be able to prioritize their task under pressure. They must be flexible and quick in responding to requests made at short notice. They should be adaptable in a fast-paced working environment and comfortably adjust themselves to a dynamic organizational culture. They must be pro-active. They should have skills to initiate their own work without direction. They must possess the qualities of self-motivation and determination. They should have the ability to prioritize and organize their own workload within broad guidelines, most effectively and accurately. They must be reliable and trustworthy, use discretion and confidentiality when necessary, and should abide by the University's terms and conditions. Overall, they must possess good organizational skills to control all administrative job responsibilities.
