STATEMENT OF DUTIES: Reporting directly to the Chief of Staff to the Vice President for Student Services and Enrollment Management (SSEM), the Executive Assistant to the VP for SSEM provides senior-level administrative support, focused on office management, communications, and event management. The Executive Assistant also coordinates materials for a variety of meetings and events executed through the Vice President's office. Finally, the Executive Assistant works collaboratively across the college to ensure shared governance, transparency, and assessment practices while helping to move the college towards comprehensive, innovative solutions to meet the evolving needs of the Bristol community.
SUPERVISION RECEIVED: Chief of Staff to the Vice President for Student Services and Enrollment Management.
SUPERVISION EXERCISED: Various student work study and interns as assigned.
DUTIES AND RESPONSIBILITIES:
Maintains calendars and schedules meetings with internal and external constituents.
Develop, organize, and manage efficient office workflow procedures.
Greet visitors, answer telephone calls, take accurate/complete messages, and/or provide routine information concerning college procedures.
Handles confidential information and correspondence, including student disciplinary files.
Prepare requisitions and keeps records of travel arrangements.
Maintains committee assignments with the college's Central Committee and the VP for SSEM.
Process refund requests; files student health insurance reports.
Process various budget forms, request for expenditures, budget modifications, and travel vouchers.
Provide support to the department managers in tracking budgets, including online ordering, maintenance, and distribution of office supplies.
Process hiring forms, such as Personnel Action Forms, Computer and Telephone Access, etc.
Utilize the college's software and applications including Argos, Banner, College Scheduler, Degree Works, Event Management System (EMS), Horizon Interview Exchange, and Microsoft Office 365.
Prepare, edit, and send out all VP communications to various audiences, including students, college leadership, and community partners.
Develop VP Office social media content calendar and execute digital communication plan across multiple digital channels.
Maintain VP Office website content. Lead the division's efforts in keeping content up to date.
Prepare various agendas and take minutes, when assigned.
Proofread typed material for punctuation, spelling, and grammar.
Coordinate reservation of facilities, audio visual equipment, and other support.
Serve in various capacities at events as assigned by the VP Office.
Serve on college committees, as needed.
Other duties as assigned by the Vice President of Student Services and Enrollment Management.
Bachelor's degree in Communication, Business, or equivalent.
Three years of full-time work as an administrative assistant or equivalent to college administration.
Demonstrated in a higher education environment:
Proven ability to work with a diverse staff and student body
Strong oral and written communication skills, highlighted by experience using social media and other digital communication platforms.
Proficiency in Microsoft Office 365.
Ability to maintain college budget lines.
Excellent judgement in handling sensitive and confidential material.
Experience providing administrative support to college or university Vice Presidents, Assistant/Associate Vice Presidents, or Deans, particularly in Student Affairs and/or Enrollment Management.
Experience at a Community College in the Commonwealth of Massachusetts.
Experience working with legacy technology platforms, such as college student information and college financial management systems.
Ability to speak a language in addition to English.
POSITION STATUS: This is a full-time, non-unit position with benefits, some nights and weekends required.
SALARY: Commensurate with qualifications and experience.
