About You You are a highly productive self-starter with excellent administrative, strategic, analytical, relationship-building, communications, organizational, and diplomacy skills. The Position The Advancement Assistant is an integral member of Dexter Southfield’s Advancement Services team and will support the overall Advancement efforts of the school. This position will work closely with all Advancement Office members, in addition to interacting with school-wide constituencies including faculty/staff, alumni and parents. To be successful in this role, you must be able to:
• Quickly and accurately manage gift collection, analysis, processing, and entry of daily gift batches into the Raiser’s Edge application • Manage and execute the gift acknowledgement process, including the accurate generation of letters for the Head of School, Director of Advancement, and other colleagues • Reconcile deposits and transactions with Business Office • Act as liaison with donors, and Dexter Southfield faculty, staff, and volunteers to answer gift-related questions and/or to resolve gift-related issues • Quickly, accurately, and appropriately add or change biographical, gift, and prospect management information in the database as needed • Generate reports, queries, and exports from the Raiser’s Edge database • Oversee office supply inventory and ordering • Manage Advancement calendar updates and weekly meeting agenda protocols; update with new events, communications, meetings, and tasks • Assist with events; prepare event materials—nametags, lists, schedules, etc.—and assist with onsite event execution • Provide general administrative support for the Advancement Team • Provide research, documentation, information, reports, and support for all internal and external audits as needed • Assist in managing budgets, tracking receipts, check requests and invoices • Assist with Special Projects relating to stewardship/recognition/prospect engagement efforts • Actively contribute to Advancement Team planning and brainstorming sessions; generate ideas and recommend strategies for the betterment of processes, approaches, and new initiatives • Assist in other Advancement Office initiatives as assigned
• 2 or more years of work experience, preferably in a development setting • Fluency with Microsoft Office Suite • Working knowledge of Raiser’s Edge database highly desirable • Effective communication skills (oral and written) • Ability to effectively interact with coworkers, administration, Trustees, parents, alumni, volunteers, students, and faculty • College degree preferred in a related skill area (e.g., Business, Communications, Project Management, etc.)
Other: Some night and weekend work required, particularly during peak event times (September through November and April through June).
