The Office of Community Education Partnerships (OCEP) at Northwestern University seeks a highly motivated, creative, and talented individual to be part the project team for the Center for Excellence in Computer Science and Coding in Chicago Public Schools (CPS). The goal of the Center, which is located at Lane Tech College Prep High School in CPS, is to be an innovation hub for coding and computer science (CS) learning for students and teachers in CPS and Chicago; to document best practices in coding and CS learning, with a focus on supporting Apple’s Everyone Can Code (ECC) and App Development with Swift, that can be shared across the district, city, and beyond; and to support LTHS as a leader in coding and CS education in CPS. The research program assistant will coordinate a broad variety of administrative processes and activities such as database, communications, particularly social media, management of supervisor and program calendars, event planning, and reporting.
The research program assistant will split time between the Center at Lane Tech College Prep High School in Chicago, Illinois and Northwestern University in Evanston. Occasionally, work hours will include evenings and/or weekend hours and travel to school sites and conferences.
*This is a two-year term appointment subject to renewal based on performance and funding.
Assists with the preparation, compiling, and dissemination of program communication and correspondence, reports, marketing materials, newsletters, program summaries, etc.
Creates program tracking documents and keeps them up to date and assists with the development of program reports and summary documents.
Responsible for basic accounting and business operations of the Center, including such duties as:
Creating and maintaining financial records.
Preparing forms and invoices.
Verifying appropriateness and accuracy of charges.
Processing and reconciling expenses, accounting transfers, and appropriation charges.
Updating financial transaction spreadsheets and databases.
Answering inquiries and handling basic communication with stakeholders.
Assists with planning and coordination of all workshops, meetings, and large scale and/or complex events and meetings.
Ensures that all event/meeting logistics including advertising, registration, travel arrangements, venues, catering, technology, etc. have been completed.
Represents University and Center with various levels of personnel at Apple, Chicago Public Schools, university, and community managing and facilitating confidential and/or critical information.
Assists with coordination of research activities, including scheduling, paperwork, survey work, etc.
Assisting with maintaining program budget.
Other duties as assigned.
Minimum Qualifications: (Education and experience)
A high school diploma or equivalent required.
4 years of administrative support or other relevant experience required.
Minimum Competencies: (Education and experience)
Intermediate knowledge of word processing, spreadsheet, email, and database software programs is required.
Advanced knowledge of word processing, spreadsheet, email, and database software programs including MS Office Suite (Word, Excel, PowerPoint, and Outlook).
Strong communication skills: ability to write and speak clearly and keep others informed.
Ability to communicate and work with diverse stakeholders from the university, high school, and community.
Ability to manage multiple and competing priorities and multi-task.
Excellent time management, organizational skills and attention to detail.
Excellent interpersonal skills: being helpful, respectful, approachable, and team oriented.
Preferred Qualifications: (Education and experience)
Bachelor’s degree in education or computer science-related field.
Previous experience with event organization.
Graphic and digital design skills.
Experience with NU Financial System.
