Reporting to the Associate Director of Master's Programs at the Harvard John A. Paulson School of Engineering and Applied Sciences (SEAS), the Program Administrator will manage the administrative logistics of the Master of Science in Engineering Sciences and Master in Business Administration (MS/MBA) master's program (a joint degree program with Harvard Business School), other related programs with Harvard Business School, and support other SEAS master's programs as needed.
DUTIES AND RESPONSIBILITIES
MS/MBA master's program responsibilities:
Coordinates logistical support for student and program events, including new and continuing student orientation, cohort social events, prospective applicant recruiting events, admitted student welcome dinners, seminar and jointly taught course dinners/lunches, alumni advisor events. Arranges space, travel, custodial services, A/V services, catering, negotiates with vendors, and coordinates plans with guests or presenters.
Promotes SEAS on MS/MBA Instagram account, curating images and video for use there and in other marketing and communication channels.
Coordinates with SEAS Communications to promote MS/MBA program. Seeks creative ways to increase awareness of the program, especially to potential applicants.
Maintains website content for MS/MBA program.
Works with Associate Director in drafting and preparing strategic reports.
Acts as the primary point of contact for applicants to the MS/MBA program. Responds to email and walk-in admissions questions. Helps run in-person information sessions for potential applicants.
Works with HBS Pre-Matriculation Manager to ensure timely SEAS announcements are sent to incoming students.
Schedules meetings of the MS/MBA Steering and Admissions Committees. Helps prepare and distribute meeting materials.
Provides SEAS course support for required MS/MBA jointly taught courses. Ensures courses are created in my.harvard. Serves as liaison with the Registrar's Office to make sure students are auto-enrolled and grade rosters are open. Maintains access to FAS and HBS course Canvas sites; posts information as needed.
Assists professors with ordering course supplies or textbooks and helps distribute instructions to students.
In collaboration with Associate Director, serves as additional SEAS point person for MS/MBA students and internal SEAS stakeholders.
Updates and maintains MS/MBA Student Handbook. Gathers and incorporates edits from colleagues at HBS and the Graduate School of Arts & Sciences (GSAS).
Maintains the MS/MBA student list-serv and Wiki site.
Maintains financial records. Processes internal billings, corporate card reconciliations, invoices, and other financial transactions. Tracks spending against budgets. Ensures University compliance of all expenditures.
For other programs and collaborations with HBS,duties will also include:
Develops and maintains programmatic websites.
In collaboration with Associate Director, helps create admissions process for launch of new student programs, including drafting and finalizing application with faculty/staff, developing a tool for accepting applications and a tool for storing admissions data.
Other SEAS master's program responsibilities:
Coordinates with staff across SEAS to provide joint student activities and socials for SEAS master's students.
Assists Associate Director in administering the co-terminal master's program for current Harvard College undergraduates (AB/SM) and the Electrical Engineering terminal master's program. This includes responding to admissions inquiries, executing recruiting activities, assisting with student orientation, commencement, etc.
Act as additional SEAS point person for Master of Design Engineering Program Coordinator.
This position will involve occasional travel and the ability to work some nights and weekends.

Bachelor's degree required.
3 or more years of work experience leading and managing projects required.
Master's degree preferred.
Previous experience working in an academic environment preferred.
Strong writing skills and experience in communications and writing for broad dissemination, fluency in digital communications preferred.
Experience with project management desired.
Excellent interpersonal skills and the ability to take initiative, work independently, problem solve, and deal effectively with a wide range of people required.
Excellent oral and written communication skills required.
