Summary: The External Relations Data Coordinator has significant responsibilities in creating, reporting and analyzing external constituent records and data through the NetCommunity and Raiser’s Edge databases. The coordinator will create and update constituent records and queries in Raiser’s Edge and build event registration forms and email communications in NetCommunity while focused on non-donor constituent and event-based record activity. While reporting to the Director of External Events, the role will work closely with the Assistant Director of Advancement Services. This position collaborates with Advancement Services to manage the NetCommunity event registrations for events managed by External Relations, as well as NetCommunity email campaigns managed by External Relations.
The External Relations Data Coordinator requires strong customer service skills, a high degree of proficiency in using Raiser’s Edge or similar databases with the ability to work with multiple constituents as well as email marketing design. The coordinator has expertise in digital communications and marketing, digital trends and content best practices, including SEO, user experience and accessibility. This position requires someone who is intellectually curious, creative, collaborative, team-oriented and client-focused with keen editorial instincts, writing skills and the ability to produce and edit content for publishing that is in alignment with university branding and event marketing goals.
This is a part-time (20 hours/week), non-exempt position is eligible to earn overtime pay for hours worked above 40 in a single work week.
Essential Duties and Responsibilities include:
Create and maintain detailed and accurate event records for all events sponsored by External Relations.
Create online registration pages for all events sponsored by External Relations.
Create and distribute event registration reports for External Relations.
Build participant queries for each event that capture all participant attributes and other registrant information as requested by External Relations.
Create, implement and report on Netcommunity email campaigns for External Relations, including creation of relevant queries in Raiser’s Edge.
Create queries, export and report using the Raiser’s Edge database and the Microsoft Office software suite.
Ongoing maintenance and improvement of External Relations constituent listings and event records in Raiser’s Edge.
Maximize the impact of content delivery across NetCommunity managed website registration websites and email promotions.
Write, proofread, edit and fact check content to ensure adherence to institutional branding, university style and appropriate voice/tone across digital channels.
Execute and manage a comprehensive email marketing plan for External Relations Programs.
Review and analyze analytics to determine impact of messaging and event registration process.
Train staff on the content management system as necessary.
Review website quality assurance checks to identify website misspellings, broken links, accessibility and SEO issues.
Staffs university events as needed as part of the External Relations team.
Other duties and special projects may be assigned to meet department and university needs.

Experience, Knowledge and Skills Required:
Proficiency in the use of Microsoft Office products (Word, Excel, Outlook); experience with mail merge is required; experience with Access is a plus.
Experience using Adobe Creative Cloud, including Photoshop, Dreamweaver, and Acrobat DC preferred.
Proficiency in identifying and writing engaging content for the web and other digital platforms, and efficacy in moving content from concept to implementation with little editorial oversight.
Experience in using Raiser’s Edge software preferred, including data entry and reporting.
Experience using enterprise content management systems, knowledge of HTML and CSS highly desirable.
Ability to take initiative and think creatively in resolving questions.
Excellent organizational skills and the ability to work both independently and as a member of a team.
Ability to use discretion when dealing with sensitive, confidential information.
Detail-oriented, with appreciation for the visual impact of documents and reports.
Excellent follow-up and follow-through skills, ensuring on time and accurate completion of short- and longer-term assignments.
Flexibility to work some evenings and weekends as needed for special events and projects.

Bachelor degree required or equivalent combination of education and experience
