Responsible for performing highly skilled or specialized clerical duties for the Marketing department by supporting the department Chair, faculty and administrative assistant. The Marketing department consists of approximately 20 faculty along with PhD candidates and Master's graduate teaching associates. The Support Specialist will assist the administrative assistant with the coordination of the department main office and the support of all faculty, staff and student needs.
Prepare all travel authorizations and expense reports. Process and submit for approval: purchase orders, voucher payments, petty cash, deposits, official occasion expense forms and other departmental expenditures utilizing the MAVS eShop and/or issued ProCard. Maintain inventory and track issuance, returns, new purchase requirements and OIT maintenance and repair for the follow: Hardware, Software installations, Office keys and key card access control, Verify and track faculty data in Mentis and/or Digital Measures, Course syllabi on a term basis, Faculty office hours and details for students on a term basis; Plan and coordinate meetings, workshops, special events for department and/or faculty; Room reservations; Food and décor; Coordinate all aspects of the event with catering, parking and OIT; Track all expenses and verify correct charge codes and maintain records for validation; Maintain office supply and break room inventory; Coordinate with the College of Business Advising staff to assist with student exception/manual registration and student questions regarding Marketing courses and degree plans. Determines work priority and schedules duties for the GTA service staff. Makes routine decisions, not subject to review, on a periodic basis. Examines statistics, manuscripts and reports for accuracy of specific data. Composes moderately complex correspondence and sends out routine correspondence and form letters and announcements. Acts as liaison with other departments in the University. Performs other duties as assigned.
High School Graduation or equivalent. Three (3) years of secretarial experience.
Bachelor degree. Three (3) years upper level secretarial experience. General understanding of basic accounting principles and practices and working knowledge of general ledger processing. Thorough knowledge of Microsoft Office products to include Word, Outlook, Excel and other similar software.Experience with PeopleSoft, UTShare, MAVS eShop, Access Wizard, ASTRA Scheduling, EMMA
