The Department of Epidemiology and Environmental Health (EEH) seeks a Department Coordinator to join the administrative team.
The role of the Department Coordinator is primarily focused on matters supporting human resources, finances, and office management. The position will work closely with both the Chair and Department Resource Manager (DRM) to maximize the effectiveness and efficiency of operations of the Department. He/she must be a self-directed professional, able to understand the Department priorities, University policies and procedures and the institutional culture.
Examples of the work responsibilities include, but are not limited to:
Management of student employees (GA/TA's, student assistants) and processing of student employee appointments and reappointments. Monitoring of faculty and staff appointments with respect to operative dates. Assisting the DRM with faculty and staff appointment processing, including supporting the tenure process and immigration filing.
Procurement and processing of reimbursement requests. Managing departmental credit cards and maintaining an office budget. Assisting the DRM with reconciliation of department accounts and financial analyses.
Working as a liaison for the Chair with the Department, School, and other parts of the University with respect to administrative matters. Coordinating and executing the day-to-day operations of the department. Gathering and interpreting research and statistical data; organizing and summarizing those data. Preparing and reviewing documents and presentations. Acting as a confidant to the Chair on matters related to overall departmental operations, and supporting the Chair as needed. Assisting with student affairs.
This position requires strong professional judgement and independent resourcefulness, while handling time-sensitive matters that require concise problem-solving and confidentiality. The Department Coordinator must be a self-motivated professional who requires limited supervision in addressing program related decisions and is able to work both independently and as part of a team. The Department Coordinator must be able to organize tasks and follow them to completion. This position will require on-the-job learning and new skills development pertinent to new departmental initiatives and changes in UB policies and other, related regulations.
EEH has a long and outstanding record of research, teaching and service in public health, celebrating its 100th anniversary in 2019. The department has research in epidemiology, health services administration and environmental health and teaches students at the undergraduate and graduate levels (MPH, MS and PhD). Associate degree with a minimum of 3 years of experience or Bachelor's degree with a minimum of 1 year of experience. Experience should be in a similar professional role providing administrative or research support to a senior leader within an academic, healthcare, or similar institution. Demonstrated skills required include: adaptable, organized, proactive, excellent judgment. Strong computer knowledge to include Microsoft Office (Word, Excel, PowerPoint and Outlook). Skills in communication (listening, written, and oral), customer service, problem-solving, and acting as part of a team.
Master’s degree. Familiarity with UB administrative policies and management systems including: UBJobs, Concur, SIRI, eREQ, ePTF, travel, UBbox. Familiarity with RF systems, sponsored-projects management. Experience with Webex and other teleconferencing capabilities. Ability to work across the levels of the university.
