The Department of Civil, Structural and Environmental Engineering seeks an energetic and highly professional Staff Assistant to provide project management and professional administrative support. Under the direction of the Director of Administration, you will be a member of the administrative team.The responsibilities of the position require exceptional organizational, communication, time management and attention to detail.
Key accountability and responsibilities include:
Provide fiscal support to faculty to responsibly manage awards consistent with University policy, requirements of funding sources, and federal regulations.
Provide proposal and budget development support services.
Serve as a point of contact to all faculty, staff, and students.
Event coordinator, e.g., seminars, faculty retreat, commencement, open house, etc.
Receive and distribute mail, paychecks, packages, etc.
Point of contact for copier equipment, office supplies and facility work orders.
Supervise work study students, e.g. schedule, assign work & approve time sheets.
Assist with processing Teaching Assistance appointments and tuition forms, as needed.
The Department of Civil, Structural and Environmental Engineering is ranked #7 in civil engineering among engineering schools in the United States and No. 16 worldwide in the 2017 global rankings of the Academic Ranking of World Universities (ARWU), also referred to as the Shanghai Ranking. Bachelor's degree required with competencies in the following areas:
1 year of work experience in financial grant management or accounting.
Professional office administrative and project management skills
General office administrative skills
Customer service skills with excellent verbal, written and interpersonal communication skills.
Proficient in all areas of Microsoft Office suite including Word, Excel, Outlook and Power Point.
A successful candidate will possess creative ideas and resourceful problem-solving skills; the ability to effectively prioritize tasks; the ability to work independently and to prioritize workload; maintain focus, keep control of time and maintain a high level of attention to details while handling recurring interruptions; an informed awareness of the university and a high-level of commitment to customer service. The individual must be skilled and experienced in dealing with sensitive and highly confidential information; possess a desire and ability to work both independently and collaboratively as part of a dynamic team. Good to have an interest and willingness to learn.
Master’s degree. Experience with University systems, e.g. ePTF, eREQ, Concur, Click and Research Foundation payroll procedures.
