Department Overview: The Department of Restorative Dentistry and Biomaterials Sciences (RBDS) includes biomaterials, endodontics, implant dentistry, operative dentistry, prosthodontics, and implant dentistry. RDBS is the largest of HSDM's clinical departments and faculty members are responsible for the majority of didactic and clinical instruction in the pre-doctoral curriculum. The department also administers advanced graduate programs in endodontics, implant dentistry, and prosthodontics. Each departmental faculty member is involved in clinical or basic science research, either at HSDM or at an affiliated institution. Full-time department faculty members also treat patients in the Harvard Dental Center. Full- and part-time faculty members supervise both pre- and postdoctoral students in the Teaching Practice.
Position Overview: Oversees the day-to-day activities and workflow within the department of Restorative Dentistry and Biomaterials Sciences, while providing high level administrative support to the Chair. Serving as the main point of contact and liaison for the department, the DA troubleshoots departmental issues and resolves problems for students, faculty and staff. In addition, s/he provides assistance and guidance to faculty and staff regarding administrative matters and resources. The department consists of 17 full-time faculty members, 5 full time staff, 96 part-time faculty, and three advanced graduate education programs. Oversees the department budget from development through approval; processes department finances and reimbursements; orders administrative, educational, and laboratory supplies and materials; and monitors spending throughout the year. Oversees all additional department funds including discretionary, gift, and scholarship. This includes budget forecasting, monitoring income and expenses, processing payments, and compiling reports. Manages pre-award grant submissions for PIs. Acts as the liaison between the PI and the grants team to ensure all documents are completed as required and are done so in a timely fashion. Works with faculty on managing grant and gift awards, monitors spending throughout the year, and collaborates with the grants team in Administration and Finance on post-award set up and grant management.
Manages appointments and re-appointments (including clinical, research and affiliate) from visiting pre-undergraduate students up to full professors. Oversees all promotions, including pre-promotion assessment, calls for letters, drafting of promotion dossier and management of the promotions process. Develops and oversees all searches, including position requests, advertisements, search procedures and processes, and interviews. Maintains records for all department personnel. Oversees all visas for faculty, works with HIO to acquire visas for incoming faculty and visiting faculty, monitors the status of all visas, and assists with extensions, waivers and new visa applications. Manages onboarding for all new departmental personnel and oversees termination documentation for departures. Directly responsible for hiring, training, mentoring, supervising and evaluating two staff assistants. Monitoring of work responsibilities among department staff to insure appropriate distribution of tasks. Bachelor's degree in business management or related field with a minimum of five years of progressive experience providing high level administrative management and support.
Master's degree preferred. Supervisory experience strongly preferred. Experience using web-based applications and migrating paper-based systems to digital/electronic platforms. Grant administration experience strongly preferred. Must demonstrate strong leadership skills with a team-based attitude; the ability to work with a diverse population is crucial. Must be able to work well in a small office setting; the desire to be resourceful is vital in this position; exceptional organizational skills are necessary; ability to use independent judgment and discretion; capacity to multi-task and prioritize competing deadlines; ability to take initiative and be proactive. Excellent attention to detail, strong communication skills (written and verbal) and interpersonal skills, knowledge of Microsoft Applications and computer skills are essential. Web management content experience is preferred. Candidate must be flexible, can work independently, and able to function in a fast-paced environment with minimal supervision. Familiarity with Visa processing/documentation. Harvard experience strongly preferred.
