Requisition # 2018-9499 Department Dean of the Faculty Category Administrative Support Full-Time / Part-Time Full-Time
Princeton University seeks a highly organized and skilled individual to serve as Administrator within the Academic Affairs unit of the Office of the Dean of the Faculty. The Administrator will provide executive level support to the Deputy Dean of the Faculty and work closely with the Associate Deans of Academic Affairs who have responsibilities in the administration of faculty and academic professionals.
The Administrator will support the daily operations of the office of the Deputy Dean, including but not limited to coordinating and planning programs, projects and events; collecting data for initiatives and reports; and managing the collection of materials for the Dean and Deputy Dean's annual meetings with department chairs. She/he will assist the Deputy Dean in important aspects of faculty administration, including academic planning, diversity initiatives, and faculty development. S/he will be expected to support the Associate Deans of Academic Affairs and the office of Academic Affairs as needed.
Manage the faculty search authorization process with direction from the Deputy Dean. Support the Deputy Dean's work with various faculty and administrative committees, including the Faculty Advisory Committee on Diversity. Assist with special projects, including those related to faculty development and mentoring. Collect and manage information related to annual meetings with department chairs. Support Deputy Dean with other projects and manage her calendar.
Manage workflow and coordinate data collection for a variety of projects and surveys. Collaborate with staff in academic units to ensure timely submission of materials and ensure accuracy and completeness of information. Track and follow up on partner hires/career transition requests.
Maintain SharePoint sites for the Deputy Dean and Associate Deans and their respective committees. Compile supporting documentation for committees (including C5 and C7). Support Associate Deans as needed on projects, which may include drafting, editing, and proofreading correspondence, and maintaining spreadsheets and databases.
Update policy and procedure documentation as needed, including on office website and the Guidebook for Chairs and Managers. Communicate changes to policies and procedures to impacted units across campus.
Represent the office to and interact on a daily basis with administrators and faculty members from academic departments.
Provide backup office support and cross-training for other staff in the Academic Affairs unit of the Office of the Dean of the Faculty. Other duties as assigned.
• Bachelor's degree
• 5+ years of responsible administrative experience.
• Demonstrated experience with project implementation and project management, preferably in higher education. • Expert knowledge of the Microsoft suite, including Word, Access, and Excel. Proficiency in Adobe Acrobat. • Strong organizational and interpersonal communication skills. • Demonstrated ability to manage complex data and information. • Requires the ability to work accurately and with absolute discretion in a fast-paced and demanding office. • Ability to quickly learn and adopt new software, adapt to new business processes, and make innovative contributions in a team-oriented atmosphere.
• Work with minimal supervision, have strong initiative and follow-up with focus on details. Highly organized, discerning, and dependable. • Ability to prioritize and coordinate multiple projects. • Strong verbal and written communication skills. • Strong customer service skills and ability to work with a diverse group of people.
Preferred Qualifications • Experience with process improvement and process mapping.
• Project Management certification.
