Essential Functions: JOB PURPOSEThe Associate Director of Enrollment Management will develop, implement and oversee the processing activities of enrollment management with a focus on meeting school of medicine recruitment and retention goals. This position will forecast and oversee the processing initiatives and results as well as collaborate with other enrollment management units to meet goals and deliverables. This position is responsible for ensuring the system processes and workflows used are working effectively and efficiently to meet goals. This position will be responsible for directing enrollment management staff, participating in strategic planning initiatives, development and training of staff, provide support to operationalized processes and on-going monitoring and measurement of business outcomes.ESSENTIAL FUNCTIONSEnsure practices, policies, and procedures are in compliance with Federal and State regulations. Maintain a thorough working knowledge of U.S. Department of Education rules and regulations. Keep abreast of current trends and practices in Higher Education.Forecast industry changes to keep WSU School of Medicine competitive in recruitment and retention of students. Develop and adapt processing and communication efforts in collaboration with enrollment management units and stakeholders, including clinical sites. Coordinate projects and reengineering enhancements across multiple units and clinical sites. Lead projects to document, modify and develop enhancements for reengineering systems within enrollment management and registration and scheduling processes.Oversee and supervise staff. Will recruit, hire, train, direct daily activities, discipline and develop the staff to ensure accurate and timely customer service and service delivery. Ensure transactions for all academic and non-academic personnel within the assigned units are performed in compliance with University policy and procedure. Collaborate in a team environment to develop policies and procedures; monitor office compliance with policies and procedures to ensure compliance with Federal, State and institutional rules and regulations.Oversee unit responsible for a variety of detailed reports, analyses and informational pieces regarding, enrollment, scheduling, retention and graduation initiatives.Support project management initiatives to make effective and efficient use of employee specialists and analysts. Query and synthesize data on demand. Analyze productivity and modify processing resources/levels in comparison to goals. Measure progress of work and collaborate with colleagues to institute changes to achieve efficient operations.Develop and participate in the on-going employee training and development as well as provide evaluative feedback and performance reviews.Assist in developing and coordinating multiple aspects of the administration of enrollment management programs with respect to the technical delivery of programs. Will be responsible for assisting with the testing and set-up/design on systems.Serve as a liaison and resource to University personnel and/or external clients. Participate on task forces and committees. Represent the department head at various meetings.Coordinate training activities for all enrollment management staff.Perform related work as assigned.
Qualifications: EDUCATIONBachelor's degree from an accredited college or university or an equivalent combination of education and experience. Master's degree in business administration or related field preferred. Demonstrated working knowledge of enrollment management, including registration policies, business procedures and practices.EXPERIENCEMinimum 5 years of progressive enrollment management experience. Experience and knowledge of federal, state and institutional regulations. Considerable experience in management practice and planning development and implementation of programs, policies and procedure, especially technical set-up and customer service. Demonstrated administrative capability as an enrollment management administrator.KNOWLEDGE, SKILLS AND ABILITIESTechnical Knowledge ? Thorough knowledge of the theory and principles of U.S. Department of Education regulations along with the understanding and ability to applying the rules and regulations in practice. Interpersonal Skills ? Effective interpersonal and customer service skills. Ability to handle pressure situations, including dealing with sensitive and confidential human relations situations. Ability to exercise professional judgement when enrollment management guidelines do not seem to adequately address a specific situation is also essential.Supervisory Skills ? Ability to delegate work, set clear direction and manage workflow. Skill and experience in mentoring and coaching of personnel. Ability to train, develop, assess, and offer feedback to staff members. Skill in development of teamwork among staff members.Analytical Skills ? Ability to compare, contrast and quality check work with a keen attention to detail. Strong analytical skills including: critical thinking and problem solving skills. Must be able to forecast resource needs and project processing deliverables.Computer Skills ? Proficient in the use of Banner and Microsoft Office tools, including excel. Project management, Salesforce or other CRM systems. Statistical Analysis software and experience with database query and table design. Cognos report writer.Organizational Improvement Skills ? Must possess skill in developing new policies and procedures, identifying methods to anticipate student needs, developing ways to address and implement changing regulations, and working on committees as well as with other university departments and clinical sites to improve services.
