Harvard Extension School manages over 30,000 course enrollments for approximately 15,000 students per year. More than 930 open enrollments online and classroom courses are offered to our communities and across the world. Harvard Summer School offers approximately 300 courses on the Harvard Campus to 9100 secondary school, college and adult learners and more than 45 international study abroad programs for up to 600 students each summer. The Division also includes the Harvard Institute for Learning in Retirement with approximately 550 active members and Harvard Professional Development Programs offering about 60 two-day, noncredit courses annually.
This position will provide administrative support to the Registrar in the form of managing his calendar and time. The Staff Assistant will serve as the first point of contact for the Registrar's staff as well as other departments at DCE and Harvard. The Staff Assistant will help to keep the Registrar informed and ensure task-management systems are working. They will work closely with the Registrar on projects and work flow for the department.
Essential Functions: Calendar management of the Registrar
Schedule all meetings for the Registrar including regular meeting with the six (6) direct reports
Ensures that the Registrar is organized and prepared for each meeting
Manages all meeting logistics including arranging catering, booking conference rooms, and creating meeting agendas/documents. create meeting briefings; take meeting notes, and provide action-item follow ups reports
Scheduling will include travel arrangements, time and itinerary management
Manage corporate card and purchasing card accounts
Keep track of policy changes and update to purchases regulation
Project Management and Reporting
Serve as project manager on a variety of new initiatives
Assist in the planning, research, and execution of special projects
Convey findings, and prepare memorandum/reports. manage important projects related to the Registrar's Office
Dean's Initiative Participates, as a member of the team of Executive Assistants, in Division-wide events and projects such as Town Halls, Employee Appreciation events, workshops, Ministry of Fun events, etc. and provides coverage as needed for the other Executive Assistant team members.

Minimum of three years of administrative experience. Education beyond high school may count toward experience.
Ability to work independently, with minimal supervision, and as part of a team.
Strong interpersonal skills required including strong verbal and written communication.
Highly organized with the capacity to manage and prioritize competing tasks.
Ability to handle complex and confidential information with discretion.
Experience with Microsoft Outlook preferred.
familiarity with Confluence and SalesForce.
